Role DescriptionSupport the day-to-day management and administration of properties, facilities, and related assets to ensure smooth and efficient operations.Coordinate property maintenance, repairs, inspections, cleaning, security, utilities, and other building services.Monitor property conditions and arrange timely follow-up on maintenance issues, defects, tenant requests, and operational concerns.Liaise with tenants, contractors, service providers, suppliers, building management, and internal departments to coordinate property-related activities.Maintain accurate records of property information, tenancy details, service agreements, maintenance schedules, invoices, inspection reports, and related documentation.Assist with tenancy administration, including lease documentation, renewals, handovers, move-ins, move-outs, and tenant communications.Monitor rental payments, service charges, deposits, utilities, and other property-related financial matters where required.Coordinate contractors and service providers to ensure work is completed according to agreed requirements, timelines, quality standards, and safety procedures.Conduct regular property inspections and identify maintenance, safety, cleanliness, security, or compliance issues.Support property budgets, expense tracking, quotations, procurement, and cost-control activities.Prepare property operation reports, maintenance updates, inspection records, and management summaries.Respond promptly to tenant and stakeholder enquiries and coordinate appropriate solutions to property-related issues.Ensure property operations comply with company policies, lease requirements, building regulations, health and safety standards, and applicable legal requirements.Identify opportunities to improve property efficiency, service quality, tenant satisfaction, and operating costs.QualificationsDiploma or Bachelor's degree in Property Management, Real Estate, Business Administration, Facilities Management, or a related discipline.Good understanding of property operations, tenancy administration, building maintenance, facilities coordination, and basic property management principles.Strong organizational and administrative skills with excellent attention to detail.Good communication and interpersonal skills, with the ability to work effectively with tenants, contractors, suppliers, and internal stakeholders.Strong coordination and follow-up skills, with the ability to manage multiple property-related tasks and deadlines.Basic knowledge of property leases, maintenance processes, building services, safety requirements, and relevant regulations is an advantage.Proficiency in Microsoft Office, particularly Excel and Word; familiarity with property management, facilities management, or accounting systems is a plus.Good problem-solving and decision-making abilities, with a proactive approach to resolving operational issues.Strong customer-service mindset and ability to handle tenant enquiries and complaints professionally.Reliable, responsible, organized, and detail-oriented approach to property administration and operations.Ability to work independently while collaborating effectively with contractors, service providers, tenants, and internal teams.
