Role summary
The Document Controller is responsible for managing, controlling, and maintaining all project documentation in accordance with company, client, and regulatory requirements. This role ensures accuracy, traceability, timely distribution, and secure storage of engineering documents across multi-discipline EPC projects.
Key responsibilities
Document management - Maintain and control all incoming/outgoing documents, ensuring correct coding, versioning, and filing in the Document Management System (DMS).
DMS administration - Upload, register, track, and archive documents using systems such as EDMS, SharePoint, SmartPlant, or similar platforms.
Engineering deliverables control - Manage vendor documents, drawings, datasheets, procedures, and technical reports across all disciplines.
Transmittals & distribution - Prepare transmittals, ensure timely distribution to internal teams, contractors, and clients, and track acknowledgments.
Revision control - Ensure proper version control, maintain document history, and prevent use of obsolete documents.
Compliance & standards - Ensure documentation aligns with project specifications, EPC procedures, ISO standards, and client requirements.
Audit readiness - Support internal and external audits by ensuring complete, accurate, and traceable documentation.
Coordination - Liaise with engineering, procurement, construction, QA/QC, and subcontractors to resolve document issues and maintain smooth workflows.
Reporting - Generate logs, status reports, overdue reports, and document registers for management and project teams.
Archiving - Ensure proper project close-out documentation, final dossiers, and secure long-term archiving.
Qualifications & experience
Diploma or Bachelor's degree in Business Administration, or related field.
5-7 years of experience in Oil & Gas, EPC, or Engineering projects.
Strong knowledge of engineering documentation workflows and multi-discipline deliverables.
Hands-on experience with EDMS, SmartPlant, SharePoint, or similar DMS platforms.
Excellent attention to detail, organization, and communication skills.
Ability to work under pressure and manage high-volume documentation.
Preferred skills
Familiarity with EPC project phases (FEED, Detailed Engineering, Procurement, Construction, Commissioning).
Understanding of vendor documentation cycles and technical deliverables.
Strong coordination skills with engineering and project management teams.
