Requirements

Administrative ResponsibilitiesMonitor and organize daily administrative tasks of the showroom.Manage correspondence, documents, and administrative files.Monitor administrative tools and supplies and coordinate with Purchasing.Oversee maintenance, cleaning, and workplace services.Coordinate with various departments to ensure smooth workflow.Monitor service and supplier contracts and coordinate renewals.Prepare and submit periodic administrative reports.Monitor expenses and operational needs.Organize and maintain vehicle and driver files.Perform other administrative tasks related to the role.Fleet & Vehicle ManagementMonitor and manage company vehicle movement and usage.Prepare daily vehicle and driver schedules.Assign tasks and trips to drivers.Track vehicle departures, returns, and trip data.Monitor vehicle condition and operational readiness.Track scheduled and emergency maintenance.Coordinate with maintenance centers and follow up on repairs.Monitor oil, tires, batteries, spare parts, and operational supplies.Monitor fuel consumption and refueling data.Track vehicle licenses, insurance, inspections, and renewals.Maintain complete vehicle records, including maintenance history and expenses.Track breakdowns and accidents and take necessary actions.Monitor proper vehicle usage and company assets.Prepare reports on vehicle movement, maintenance, fuel consumption, and expenses.Driver ManagementOrganize driver schedules and working hours.Assign tasks and trips and monitor execution.Monitor attendance and adherence to work schedules.Ensure compliance with company instructions and policies.Monitor driver licenses and ensure validity.Evaluate driver performance and professional conduct.Monitor traffic violations and accidents and take necessary actions.Ensure compliance with safety regulations and safe driving practices.Address and resolve operational issues related to vehicles and drivers.Maintain confidentiality of company and customer information.Reporting & Follow-upPrepare periodic reports covering vehicle movement, fuel consumption, maintenance, expenses, driver attendance, trips, violations, and accidents.Submit reports to management and follow up on feedback and corrective actions.
