Overview of the role:
The document controller is responsible for efficiently managing all document movements within the organization, whether electronic or paper. The role requires adherence to established procedures and standards to ensure accurate numbering, formats, issuance, review, dispatch, recording, and archiving of all documents. Success in this position involves maintaining organized document control systems, supervising junior staff, and liaising with external stakeholders such as designers and suppliers. Additionally, the role involves ensuring compliance with safety, quality, and environmental standards, while also seeking opportunities for continuous improvement.
What you will do:
Document management
Manage all movements of documents, incoming/outgoing either in electronic form or on paper through established procedures or standards.
Effectively manage a document control system for all incoming and outgoing information.
Collate, monitor, and distribute information regularly.
Maintain up-to-date records of all information to ensure availability to the team.
Issue and distribute controlled copies of information in accordance with the design management plan.
Check information on drawings for conformance with agreed status and format.
Liaise with designers and specialist suppliers on queries regarding issues of information.
Troubleshoot any problems with the drawing management system and peripherals.
Provide advice on procedures of issue and methods in accessing the system.
Periodically review and revise procedures, arranging authorization by relevant personnel.
Staff supervision and training
Supervise and manage junior document control staff.
Provide training to participants, designers, and specialist suppliers on the use of the drawing management system.
Recommend improvements to departmental procedures to fulfill relevant procedural and legislative requirements.
Operational accountabilities
Ensure adherence to all relevant safety, quality, and environmental procedures and controls to guarantee safety, service quality, and environmental compliance within AFC.
Contribute to the identification of continuous improvement opportunities in processes and practices, benefiting Al Futtaim and its employees.
Liaise with the design manager in reporting on project design performance.
Perform any other reasonable request of work/task as allocated by the line manager.
