The Senior HR Administrator supports the day-to-day administration of HR operations and employee
lifecycle processes across the organization. The role is responsible for maintaining employee records,
preparing HR documentation, coordinating employee requests, supporting onboarding and separation
activities, and ensuring HR transactions are completed accurately and on time.
The role works closely with the HR Manager, HR Operations team, employees, line managers, and
internal stakeholders to provide reliable administrative support and ensure employee information,
documentation, and HR service requests are handled in line with approved HR policies and confidentiality
requirements.
3. KEY RESPONSIBILITIES AND PERFORMANCE STANDARDS
Key Accountabilities
• Support employee lifecycle administration, including onboarding, employee changes, transfers,
promotions, contract updates, and separation documentation
• Prepare HR letters, employment certificates, salary certificates, NOCs, experience letters, and other
employee documentation as requested
• Maintain accurate and up-to-date employee records, personnel files, and HR documentation in line with
internal standards
• Update employee information in HR systems and trackers, ensuring data accuracy and timely
completion of changes
• Support onboarding activities by coordinating joining documents, employee file creation, induction
coordination, system updates, and required administrative arrangements
• Support separation administration by coordinating resignation documentation, clearance forms, exit
documentation, and employee record closure
• Respond to employee queries related to HR letters, documents, records, policies, leave, employee
services, and administrative requests
• Escalate complex employee queries, policy exceptions, or sensitive matters to the HR Manager
• Coordinate with Payroll Officer and HR Operations team on employee changes, leave records,
allowances, deductions, and other payroll-related documentation
• Support leave administration, attendance documentation, employee status updates, and entitlement
tracking where required
• Maintain trackers for employee documentation, HR requests, letters issued, onboarding, separations,
and employee movements
• Ensure employee files and records are complete, organized, confidential, and audit-ready
• Assist in preparing HR reports, employee movement summaries, document logs, and operational
trackers for the HR Manager
• Coordinate with employees and departments to collect missing documents, approvals, forms, and
supporting information
• Support benefits administration by collecting documentation and coordinating employee information
updates where required
• Assist with HR system workflow follow-up, pending approvals, employee data corrections, and
document uploads
• Support HR policy communication by sharing approved forms, templates, guidelines, and process
information with employees and managers
• Assist in internal and external audits by retrieving employee records, documentation, and transaction
evidence as required
• Maintain confidentiality of employee information and ensure all HR documentation is handled securely
• Support improvements to HR administration processes, templates, filing systems, and employee service
practices
• Perform other HR administration and operational tasks as assigned by the HR Manager
Requirements:
Qualifications and Experience — Essential:
• Professional diploma or diploma in Human Resources, Business Administration, Office Administration, or
related field
• 1–3 years of experience in HR administration, employee services, HR operations, office administration,
or related support role
• Experience preparing HR letters, maintaining employee records, coordinating employee documentation,
and supporting HR service requests
• Basic understanding of HR policies, employee lifecycle processes, onboarding, separations, and HR
documentation requirements
• Good attention to detail, confidentiality, communication, coordination, and follow-up skills
• Ability to manage routine employee queries and escalate matters appropriately
• Proficiency in Microsoft Office, especially Word, Excel, Outlook, and basic HR systems or employee
databases
Desirable:
• Bachelor’s degree in Human Resources, Business Administration, or related field
• HR-related certification or training
• Experience in the UAE or GCC region
• Familiarity with UAE employment documentation practices
• Experience using HR systems such as SuccessFactors, SAP, or employee self-service platforms
• Experience in real estate, asset management, hospitality, leisure, entertainment, retail, or service-
oriented environments
Salary:
AED
15,000
per month inclusive of fixed allowances.
