Overview of the role:
The aftersales receptionist plays a crucial role in maintaining exceptional customer service and operational efficiency in the service department. The position involves direct customer interaction, effective appointment management, and comprehensive administrative support to ensure a seamless customer journey from arrival to departure. Success in this role is measured by customer satisfaction scores, accuracy in appointment management, and effective team collaboration to uphold the service standards of the dealership.
What you will do:
Customer reception & front desk management
Greet customers professionally upon arrival at the service center.
Direct customers to the appropriate service advisor or department.
Handle incoming telephone calls, WhatsApp inquiries, and email communication.
Maintain a welcoming and organized reception area at all times.
Appointment management
Manage service appointments in the system for both walk-in and scheduled visits.
Confirm daily bookings with customers and update them on any appointment changes or waiting times.
Coordinate with service advisors to prevent overbooking or delays.
Ensure accurate appointment segregation and upload details in the designated system.
Customer communication
Provide customers with service information, estimated waiting times, and necessary paperwork.
Assist with vehicle status updates when service advisors are unavailable.
Notify customers when their vehicles are ready for delivery through phone inquiries.
Administrative & documentation support
Prepare and manage service-related documents and appointment sheets.
Assist with invoice printing and provide customer copies as required.
Maintain logs for customer visits, calls, and vehicle flow.
Coordination with service advisors & workshop team
Support service advisors with customer queue management and communication of customer concerns.
Ensure smooth workflow between reception, workshop, and parts department.
Monitor vehicle delivery processes accurately.
Customer satisfaction & service quality
Ensure high levels of customer service and professionalism.
Address basic customer concerns and escalate issues when necessary.
Engage in CSV & NPS feedback as part of quality measures.
Compliance & process adherence
Follow brand and dealership policies for customer handling and documentation.
Maintain confidentiality and accuracy of customer data.
Adhere to attendance and punctuality requirements.
Additional support duties
Assist in organizing the reception area for audits or special campaigns.
Support service advisors during busy hours to reduce customer wait time.
Help with promotional materials, service reminders, and customer notifications.
