Job description
Administrative support: Provide daily administrative support to the sales team, including scheduling meetings, managing correspondence, and maintaining files.
Proposal preparation: Assist in the preparation of proposals, contracts, and presentations for clients, ensuring accuracy and timely submission.
Client coordination: Act as a point of contact for client inquiries, provide information, and ensure follow-up is conducted in a timely and professional manner.
PMS maintenance: Update and maintain client information, leads, and activity logs in the PMS system. Ensure data integrity and assist in reporting.
Sales reporting: Compile sales data and prepare reports on sales performance, lead conversion, and client feedback for the team.
Documentation: Manage and organize documentation related to sales activities, events, and promotional materials.
Event support: Assist in the organization of site inspections, events, and trade shows, including logistics, coordination, and materials preparation.
Communication: Collaborate with other departments to ensure client requirements are met and sales activities are aligned with service delivery.
Follow-up: Ensure timely follow-up on client communications and track status of proposals and pending tasks.
Compliance: Ensure all documentation and communication comply with company policies and confidentiality guidelines.
Qualifications
High school diploma or equivalent; additional qualification in business administration, hospitality, or related field is a plus.
Previous experience in a sales support or administrative role, preferably in the hospitality or service industry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with PMS systems is preferred.
Strong organizational and time management skills with attention to detail.
Excellent communication skills, both written and verbal.
Ability to multitask and prioritize in a fast-paced environment.
Customer-service oriented with a proactive and problem-solving mind-set.
Ability to work collaboratively within a team and independently when required.
