Position Overview:A leading pharmaceutical company is seeking an experienced Events Specialist to join our team and take ownership of planning, coordinating, and executing a variety of company events. With 5+ years of experience in event management, you will be responsible for managing events from concept to completion, ensuring seamless execution and exceptional attendee experiences.Reports to: Events Manager.Key Responsibilities:Event Planning & CoordinationDevelop comprehensive event plans, timelines, and budgets for corporate events, conferences, product launches, trade shows, and company celebrationsManage all aspects of event logistics including venue selection, vendor coordination, catering, transportation, and accommodationCreate detailed checklists and timelines to ensure all deadlines are metHandle contract negotiations and manage vendor relationshipsVendor & Stakeholder ManagementSource, negotiate with, and manage relationships with external vendors (caterers, decorators, AV companies, photographers, etc.)Conduct site visits and evaluate venue options based on event requirements and budget constraints.Coordinate with internal departments to understand event objectives and attendee needs.Maintain updated vendor contact lists and performance evaluations.Budget ManagementDevelop and manage event budgets within approved parametersTrack expenses and reconcile invoicesIdentify cost-saving opportunities without compromising event qualityPrepare budget reports and post-event financial summariesOn-Site ExecutionOversee setup, registration, and breakdown of eventsManage event day operations and troubleshoot issues in real-timeCoordinate with event staff and volunteersEnsure compliance with health, safety, and security protocols.Required Qualifications5+ years of professional event planning or event coordination experienceProven track record of successfully planning and executing events.Bachelor's degree in Event Management, Hospitality, Business, Marketing, or related field (or equivalent professional experience)Strong organizational and project management skills with ability to manage multiple events simultaneouslyExcellent written and verbal communication skillsProficiency with event management software and Microsoft Office SuiteAbility to remain calm under pressure and solve problems creativelyStrong interpersonal and negotiation skillsWillingness to work flexible hours, including evenings and weekends during events
