Role purpose
The role provides high-trust, high-impact coordination support. The role is designed for a confident, socially intelligent individual who can listen carefully, read situations, act decisively, and solve problems in real time. The role is not about language but about social behavior.
This is not a traditional finance or administrative role. Success depends on judgement, behavior, responsiveness, and execution; the ability to engage with people at all levels, manage time flawlessly, and translate conversations into action.
Key accountabilities
Executive & stakeholder interaction
Engage confidently with senior leaders, stakeholders, and teams at all levels.
Listen actively, understand context quickly, and respond appropriately in the moment.
Represent the office with professionalism, confidence, and strong social awareness.
Real-time action & problem solving
Translate discussions into clear actions, priorities, and next steps—often on the spot.
Anticipate issues before they escalate and propose practical solutions.
Resolve day-to-day challenges independently, knowing when to escalate.
Coordination & follow-through
Manage complex schedules, meetings, and priorities with excellent time discipline.
Track commitments, decisions, and actions to ensure nothing is missed.
Ensure accuracy in details, documentation, and communication at all times.
Execution excellence
Maintain strong structure and organisation across multiple workstreams.
Balance speed with accuracy in a fast-moving environment.
Continuously improve ways of working through better organisation and judgement.
Requirements
Core attributes (non-negotiable)
Exceptional communicator and listener – understands what is said and what is implied.
Strong social behaviour and judgement – reads people and situations well.
Confident with healthy self-esteem – comfortable engaging with senior leaders.
Decisive and action-oriented – able to act immediately when needed.
Highly organised with strong time management.
Detail-accurate – nothing slips through the cracks.
Experience
Minimum 3 years’ experience in roles involving coordination, execution, or ownership of outcomes (e.g. project coordination/management, operations, business development, sales execution, or leadership support).
Direct responsibility for follow-ups, tracking, or delivery, not just participation (e.g. owning action logs, deadlines, stakeholders, or outcomes).
Advanced Excel and computer skills used daily for tracking, scheduling, reporting, or analysis (pivot tables, formulas, structured trackers expected).
Working knowledge of numbers and finance (budgets, revenues, costs, simple financial analysis, or commercial decision-making).
Demonstrated ability to operate under urgency, including handling last-minute requests, changing priorities, and high-visibility tasks with accuracy.
Experience working with senior stakeholders is an advantage but not essential if behavioural maturity is strong.
Skills
Strong prioritization and execution skills.
Ability to stay calm and effective under pressure.
Professional discretion and confidentiality.

About the Company
Established in the 1930's, the Al-Futtaim Group initially operated as a trading enterprise. Rapid development throughout the 1940's and 50's saw it establish itself regionally as an integrated commercial, industrial and services organisation, positioning itself one of the leading business houses in the lower Gulf region. Today, it operates collectively over 40 companies bearing the Al-Futtaim name, dominates many market segments in the UAE, and has expanded its sphere of operation to include Bahrain, Kuwait, Qatar, Oman and Egypt.
The Group comprises a diverse range of strategically positioned operating subsidiaries and associate companies, structured to give the Al-Futtaim Group the flexibility and versatility to keep ahead of local competition while keeping pace with the ever-evolving global business scenario. The Groups continued investment in world-class systems technology is clear evidence of its commitment to maintain leading edge performance and service delivery.
The success of the Al-Futtaim Group can be attributed to a business approach that combines the ability to change with the traditional values of integrity, service and social responsibility that define its core business philosophy. This, linked with the Groups belief in decentralisation, gives the heads of the operating companies a high degree of functional autonomy and authority, providing the Group with essential flexibility, and individual employees a clearly defined work culture and sense of responsibility.
