Job purpose
The graduate document controller will support project teams by ensuring all project documents are accurately controlled, stored, distributed, and maintained in accordance with company and client procedures. Training will be provided.
Key objectives
Assist with the registration, filing, and distribution of project documents in line with company procedures
Maintain accurate records of incoming and outgoing documentation
Ensure documents are correctly version controlled and archived
Support the setup and maintenance of project document registers
Support communication between project teams, vendors, and clients regarding documentation
Assist in tracking document status and following up on outstanding submissions
Support meeting documentation, including distribution of minutes and action lists
Upload, manage, and retrieve documents from the electronic document management system (EDMS)
Ensure all documentation complies with project quality and audit requirements
Assist with audits by providing requested documentation and records
Learn document control best practices, project workflows, and system usage
Actively seek feedback and demonstrate continuous improvement
