About the role

Hospitality, service excellence, and organization are at the heart of this role. As Office Manager, you will help create a welcoming, safe, and efficient workplace experience across DP World's hub locations in Rotterdam, Amsterdam, and Antwerp.

Working closely with local teams, international managers, HR, IT, Finance, and external partners, you will be the central point of contact for office operations, facilities, workplace services, onboarding logistics, travel coordination, and employee events. Your work will directly support employees and visitors, helping to ensure that every office location runs smoothly and consistently.

This is a varied role where no two days are the same. You will have the opportunity to take ownership, build strong relationships with a wide range of stakeholders, and contribute to a positive employee experience across the Benelux region.

 

How you will contribute

  • Ensure DP World offices in Rotterdam, Amsterdam, and Antwerp remain professional, safe, well-maintained, and fully operational.
  • Manage relationships with landlords, facilities providers, cleaning services, catering partners, maintenance suppliers, telecom providers, security vendors, and other workplace service partners.
  • Coordinate office services, workspace allocation, meeting facilities, office supplies, catering, and day-to-day workplace operations.
  • Support new hire onboarding by arranging workspace setup, building access, access badges, IT equipment, and workplace readiness.
  • Partner with HR and hiring managers to support onboarding and offboarding activities, including company asset management.
  • Coordinate procurement and deployment of workplace equipment, including laptops, monitors, mobile devices, printers, and office accessories.
  • Liaise with internal and external IT support teams to help ensure timely issue resolution and a positive employee experience.
  • Manage office-related purchasing, supplier invoices, requisitions, and expense tracking while supporting budget monitoring and cost efficiency initiatives.
  • Organize business travel arrangements, including flights, accommodation, local transportation, and visitor hospitality requirements.
  • Coordinate meeting rooms, training facilities, catering, and event logistics across all hub locations.
  • Plan and deliver employee engagement initiatives and company events, including seasonal celebrations, team activities, networking events, recognition programs, and community gatherings.
  • Act as a trusted point of contact for employees and visitors, providing administrative support and contributing to workplace improvement projects.


 

 

What you will bring

  • Experience in office management, workplace experience, facilities management, administration, or a related field, with the ability to coordinate multiple priorities across different locations.
  • Strong communication skills in Dutch and English, both written and spoken.
  • Excellent organizational and stakeholder management skills, with a proactive and solution-focused approach.
  • Proficiency in Microsoft Office applications and confidence working with business systems; experience with SAP is welcome, or willingness to learn through internal training.
  • Experience managing multiple office locations, coordinating employee onboarding activities, supplier relationships, procurement processes, or corporate events.
