Our capabilities span Hyperautomation & Low-Code, Middleware & API Management, Artificial Intelligence, Data & Analytics, CRM, Enterprise Digital Solutions, and Airport Digital Transformation.We work closely with leading technology partners and enterprise and government customers to deliver complex digital transformation initiatives across the region.Role OverviewUnited Delta is seeking a highly organized and detail-oriented Bid Coordinator to support our Bid Manager and wider commercial team in managing the end-to-end coordination of proposals, tenders, RFPs, RFIs, and other bid submissions.The Bid Coordinator will play a key role in ensuring that bid activities are properly planned, coordinated, documented, and submitted on time. The successful candidate will work closely with Sales, Presales, Delivery, Finance, Legal, Technology Practices, Partners, and Management to collect and consolidate the information required for high-quality and compliant submissions.This role is particularly suited to someone who is highly organized, comfortable working under deadlines, and capable of coordinating multiple stakeholders and bids simultaneously.Key ResponsibilitiesBid & Proposal CoordinationSupport the Bid Manager in coordinating the complete bid lifecycle for RFPs, RFIs, RFQs, tenders, proposals, and related commercial submissions.Review tender and RFP documentation to identify submission requirements, deadlines, mandatory documents, formats, and evaluation criteria.Prepare and maintain bid checklists, compliance matrices, submission trackers, and action plans.Coordinate the collection of technical, commercial, legal, financial, and administrative inputs from internal stakeholders.Track outstanding actions and proactively follow up with contributors to ensure deadlines are met.Coordinate clarifications and questions related to tender requirements.Support the preparation, formatting, consolidation, proofreading, and quality review of proposal documents.Ensure final submissions comply with customer instructions and United Delta's internal standards.Coordinate electronic and physical bid submissions where required.Internal Stakeholder CoordinationWork closely with the Bid Manager, Sales, Presales, Delivery, Finance, Legal, HR, and Technology Practice teams throughout the bid process.Schedule and coordinate bid kick-off meetings, review sessions, and final submission reviews.Document agreed actions, owners, and deadlines and ensure appropriate follow-up.Escalate potential delays, missing inputs, compliance risks, and other bid-related issues to the Bid Manager.Support coordination with subcontractors and technology partners for quotations, Statements of Work, technical documentation, certifications, and other required inputs.Proposal Documentation & QualityMaintain United Delta's proposal templates and ensure consistent use of approved corporate formats.Support the preparation and maintenance of standard company information, capability statements, customer references, CVs, certifications, project references, and other reusable bid content.Review submissions for formatting, consistency, completeness, grammar, and overall presentation quality.Ensure appropriate document version control throughout the bid lifecycle.Maintain accurate records of submitted proposals and their supporting documentation.Bid Tracking & ReportingMaintain an up-to-date tracker of active, upcoming, submitted, won, lost, and cancelled bids.Track key bid milestones, submission dates, clarification deadlines, and dependencies.Support the Bid Manager in preparing regular bid status reports for management.Maintain records of bid outcomes and support win/loss analysis.Help maintain an organized repository of previous proposals, RFP responses, customer requirements, commercial documents, and reusable content.Support continuous improvement of United Delta's bid management processes, templates, and knowledge base.Qualifications & ExperienceBachelor's degree in Business Administration, Marketing, Management, Information Technology, Engineering, or a related discipline.1–3 years of experience in bid coordination, proposal management, sales support, commercial operations, project coordination, or a similar role.Previous experience within an IT services, systems integration, consulting, software, or technology organization is highly preferred.Exposure to government or enterprise RFPs and tendering processes in Saudi Arabia or the GCC is an advantage.Experience coordinating multiple internal and external stakeholders under strict deadlines is highly desirable.Required SkillsExcellent organizational and coordination skills.Strong attention to detail.Excellent written and verbal communication skills in Arabic and English.Arabic communication skills are highly desirable.Strong proficiency in Microsoft Word, PowerPoint, Excel, and related productivity tools.Ability to understand and follow complex RFP instructions and compliance requirements.Strong document formatting and presentation skills.Effective stakeholder management and follow-up capabilities.Ability to manage multiple bids and competing deadlines simultaneously.Strong sense of ownership and accountability.Ability to work effectively in a fast-paced and process.Working Relationship with the Bid ManagerThe Bid Coordinator will work closely with the Bid Manager, who will retain overall ownership of bid strategy, governance, commercial positioning, and final submission quality.The Bid Coordinator will primarily ensure that the operational and coordination aspects of each bid are executed effectively—including tracking requirements, coordinating stakeholders, managing documentation, monitoring deadlines, and ensuring submission readiness.Together, the Bid Manager and Bid Coordinator will ensure that United Delta's bids are compliant, competitive, professionally presented, and delivered on time.
