About the job:
Supporting the efficient and effective management of the workforce. This role involves coordinating scheduling, tracking recruitment processes, analyzing workforce data, and ensuring optimal staffing levels. The coordinator works closely with various departments to align workforce plans with organizational goals and objectives. Additionally, the coordinator will be accountable for tracking the recruitment process, reporting manpower performance based on departmental feedback, checking timesheets, creating purchase orders (POs) in SAP, and communicating with third-party contractors.
Job specific accountabilities:
Assist in developing and managing employee schedules to ensure optimal staffing levels.
Coordinate shift rotations and manage attendance to minimize downtime and ensure continuous coverage.
Communicate scheduling changes and updates to relevant departments and employees.
Track and monitor the recruitment process to ensure timely and effective hiring.
Maintain detailed records of recruitment activities, candidate progress, and hiring outcomes.
Provide regular updates and reports on recruitment status to management.
Collect feedback from various departments on manpower performance.
Analyze performance data and prepare comprehensive reports based on departmental feedback.
Provide insights and recommendations to improve manpower performance and address any identified issues.
Collect and organize workforce data, including attendance, productivity, and performance metrics.
Assist in maintaining comprehensive databases and dashboards to track key workforce indicators.
Conduct basic analysis to identify trends and areas for improvement.
Assist in developing workforce forecasts and staffing models based on historical data and projected demands.
Support the development of short-term and long-term workforce plans to meet operational needs.
Review and verify employee timesheets for accuracy and completeness.
Ensure timesheets are submitted on time and in compliance with company policies.
Address and resolve any discrepancies or issues related to timesheets.
Generate and process purchase orders in SAP for workforce-related expenditures.
Ensure all POs are accurately created and approved according to company procedures.
Track and manage the status of POs to ensure timely processing and payment.
Communicate and coordinate with third-party vendors providing manpower services.
Ensure workforce practices comply with relevant labor laws, regulations, and company policies.
Assist in conducting risk assessments related to workforce management.
Support the implementation of risk mitigation strategies.
Assist in coordinating training programs to enhance workforce skills and capabilities.
Identify training needs based on workforce performance data and analysis.
Monitor the effectiveness of training programs and make recommendations for improvements.
Utilize workforce management software and analytical tools to enhance data collection and reporting.
Stay updated on industry trends and advancements in workforce management technologies.
Support the implementation of new tools and technologies to improve workforce management practices.
Minimum requirements:
Bachelor's degree in business administration, operations management, human resources, or a related field.
At least 1-3 years of relevant experience related to the oil & gas logistics or commercial logistics industry.
In-depth knowledge of relevant logistics operations data and system management and performance tracking, in addition to relevant knowledge of oil & gas logistics and supply chain management.
Proficient in English.
