As an admin officer, you will provide secretarial and administrative support to the department, maintaining a comprehensive understanding of departmental activities, and ensuring confidentiality of all important matters.
In this role, you will:
Deliver department and corporate administration requirements, liaising with internal and external functions.
Supervise and be responsible for the day-to-day management of an admin team: performance management, timely feedback, and coaching when required.
Act as the first escalation point for the department to clarify any employee policy or operational issues, establishing root cause, decision making within established frameworks, and implementing action to resolve.
Ensure content quality and timely updates of information within the internal systems.
Review working practices, enhancing productivity and service delivery, to department requirements.
Manage and maintain employee records and HR systems for the department including leave planning, industrial injury, promotion, performance feedback, attendance, appreciations and attendance exception reporting, performance exception reporting, etc. Capture related data and develop into usable information.
Oversee office operations, maintaining a comprehensive understanding of departmental activities, and liaising with various stakeholders on behalf of the head of department to ensure smooth communication and efficient workflow. Manage and respond to external client queries in a timely manner.
Provide administrative support as required to the head of department office, ensuring the smooth and efficient day-to-day operation, effectively coordinating activities and streamlining the flow of information, ensuring confidentiality of all important matters.
Assist in the preparation of confidential reports and data/statistical figures that may be required by the head of the department.
Qualification
To be considered for the role, you must meet the below requirements:
12 years schooling or equivalent and 5+ years of experience in administration/secretarial roles
Experienced in managing mid-sized customer focused teams
Possess a thorough understanding of the Emirates Group policies, processes, and practices
Have proven ability to coach and motivate staff
Have advanced Microsoft Office skills such as analysing information in Excel and automating routine tasks
Experience in general office administration
Possess excellent interpersonal skills
