The role will take ownership of selected procurement categories and logistics follow-ups, contribute to vendor evaluations, and ensure material availability within agreed timelines and cost parameters. Essential roles and responsibilities Functional roles and responsibilities: Support the logistics & purchase manager in forecasting and planning procurement needs for specific projects or material categories. Identify and categorize procurement requirements, compile material specifications, and ensure optimal sourcing in terms of cost, quality, and timelines. Conduct vendor and market analysis to identify opportunities for improved pricing, product quality, and supply efficiency. Stay updated on market trends; procure samples, brochures, and technical data from available suppliers; present findings for internal review and final confirmation. Prepare and issue requests for quotations (RFQs), negotiate prices and payment terms, and provide recommendations for vendor selection. Negotiate favorable credit terms with suppliers and ensure proper opening and issuance of LPOs with agreed pricing and delivery timelines. Obtain necessary approvals and place purchase orders with the most cost-effective and viable suppliers, ensuring delivery as per agreed terms. Prepare periodic reports summarizing supplier performance and pricing trends; conduct regular market surveys to explore better alternatives. Coordinate with user departments to review procurement requirements, ensure alignment with project needs, and improve internal service delivery. Assist the manager in conducting supplier performance reviews and contribute to developing a preferred vendor list for critical materials. Proactively highlight potential delays, cost variances, and quality concerns to the manager and suggest appropriate mitigation plans. Support cost-saving initiatives by identifying efficiency opportunities and contributing to procurement reporting through data collection and analysis. Maintain accurate procurement records and documentation in line with audit and compliance requirements. Assist in training new team members or interns, as and when required.
