Synopsis
Performs and supervises a wide range of administrative activities or services function including but not limited to office administration, maintain departmental trackers, dashboards, manpower records, and operational reports to provide accurate performance visibility and management oversight. Consolidate information across shifts and teams, monitor delays, findings, and outstanding actions, and ensure timely follow-up, escalation, and reporting to management.
Accountabilities
Provides end-to-end processing of data and ensures compliance with set standards and procedures
Receives, analyses and addresses functional enquiries and provides first line of problem resolution within well-defined guidelines and procedures
Prepares both routine and non-routine reports
Maintains data and records ensuring proper archiving according to internal procedures and requirements
Uses a number of software applications to deliver work requirements
Highlights and suggests possible improvements to processes and procedures
Liaises with internal and external customers and stakeholders to ensure proper support and business engagement on different activities
Leads a small team of admin level staff
Handles more varied and volume work activities usually involving

Education & Experience

Proven hands-on experience in office administration, maintaining operational trackers, dashboards, manpower records, and departmental reporting within a fast-paced operational environment
Strong proficiency in Microsoft Office Suite, particularly Excel (data analysis, and reporting), PowerPoint, and other business systems, with the ability to prepare accurate management reports and monitor operational performance
Proven ability to manage multiple priorities, coordinate with internal and external stakeholders, maintain records and compliance requirements, drive timely follow-up on actions, and support process improvement initiatives; aviation operations experience is an advantage
Additional Information
1. Quality, Safety & Compliance Management
Monitor CAPA actions, audit findings, compliance requirements, certifications, and mandatory training to ensure adherence to internal KPIs, safety standards, and regulatory requirements.
Support delay investigations, root-cause analysis, compliance follow-ups, and safety awareness initiatives while tracking and escalating overdue actions.
2. People, Administrative & Management Support
Provide administrative and coordination support to line maintenance leadership, including meetings, presentations, communications, reporting, and action tracking.
Support onboarding, recruitment activities, interviews, assessments, competency approvals, and workforce planning to ensure operational readiness and compliance.
3. Documentation, Process Improvement & Stakeholder Communication
Maintain and update manuals, SOPs, work instructions, and administrative procedures while supporting periodic reviews and documentation governance.
Identify and implement improvements to processes, systems, tracking, and reporting, while facilitating effective communication and collaboration across operational teams and support departments.
