New York University Abu Dhabi (NYUAD) seeks to appoint an Immigration Services Operations Specialist reporting to the Assistant Director, Immigration Services. The incumbent will take responsibility for a dedicated area of the immigration services operations, providing the required autonomy to ensure service provision and timely follow-up. The primary duties of this role include offering customer service and support for all applications submitted through the specified government portals like ICP, MoHRE, and security clearance, addressing government-related inquiries and processing applications for employees, families, and students. Moreover, this role will manage the specific employee background checks or students' pre-clearance and immigration processes from start to end. Key responsibilities: Students’ immigration and Sunapsis system: Provide oversight to the immigration services area responsible for handling of students' immigration processes, including new visas, renewals, cancellations, amendments, and updates. Engage at maximum capacity, utilize and update Sunapsis system and complete tasks promptly with meticulous attention to detail. Coordinate with colleagues from Admission, Global Education, and the Graduate Office to ensure precision, update Sunapsis, trackers, generate reports, and maintain effective communication channels. Employee & family process operation: Provide oversight to the immigration services area responsible for handling MoHRE, ICP, Security Clearance, or other immigration-related applications. Handle the required tasks to ensure deadlines are met in accordance with departmental Service Level Agreements (SLAs). Conduct continuous follow-ups to ensure applications are submitted and received accurately and efficiently, without errors. Adhere to effective time management to ensure focus on completing tasks professionally and precisely. General immigration applications and documentation: Precisely input security clearances, visas, work permits, Emirates IDs, and other immigration applications into online government portals and systems like ICP, MoHRE, Bayanati, and Itimad, maintaining meticulous records. Update databases and trackers such as Workday, Sunapsis, and others promptly. Ensure thorough electronic and physical filing of documents for easy access and retrieval. Execute various immigration related duties as assigned, including but not limited to coordinating document translations, ILOE, golden visa applications, assisting PROs with documentation and applications, compiling reports for management, and troubleshooting technical issues related to systems and portals. Immigration payment cards: Monitor the usage of Immigration Payment Cards (FAB Cards) to prevent misuse and duplication, prioritizing maximum security and care. Prepare and process expense claims for replenishment and payment requests, ensuring timely top-up and recharge to maintain sufficient balance at all times. Adhere strictly to NYUAD financial policies and procedures to ensure compliance. Photography services for UAE visas: Manage the onsite photography cameras and related devices/tools and ensure their safe custody and utilization. Capture professional photos for employees, students, and their families, ensuring high-quality images as required by the ICP. Utilize software like Photoshop to edit photos for UAE ID purposes, ensuring compliance with relevant regulations and standards. Communication and customer assistance: Deliver thorough support to individuals visiting the NYUAD Service Center, addressing their inquiries and ensuring a positive customer experience. Update ServiceNow for each inquiry and ensure consistent usage among colleagues for seamless communication and tracking of requests. Original document distribution and photography services for UAE visas: Receive and organize original Emirates ID cards delivered to the Service Center by the Mail Room/Post. Ensure timely communication for collection and manage related documentation, filing, and update of the systems. Safely store original passports and other immigration-related documents in lockers. Return the original documents to employees/students after completion of work, maintaining confidentiality and security. Arabic letter preparation and interim PRO works: Draft and prepare Arabic letters for immigration visa purposes according to the requests received from PeopleLink, employees, and students, ensuring clarity and accuracy. Act as a temporary Public Relations Officer when required, performing tasks such as escorting individuals for medical tests and fingerprint sessions, visiting the ICP office, and handling other PRO-related services. Maintain accurate records and provide updates as necessary. Required education Bachelor's degree in a related field. Required experience 5+ years of experience in handling immigration, MoHRE department and other government related activities. Good command of English and good conversational and written skills in Arabic language. Excellent skills in professional typing in English and Arabic in the computer environment and preparing business letters. Strong attention to detail and commitment to fulfilling any requests of clients within the agreed time and extreme sense of responsibility and accuracy. Typing bilingual – Arabic and English. Expert in UAE immigration systems. Preferred experience Previous experience in the field of Immigration/PRO Services in a university in Abu Dhabi. 3+ years working experience in a university in the field of visa and immigration documentation or PRO service. Professional typing skill in Arabic and English. Excellent PC skills. Good knowledge in MS Word, Excel and other applications.
